What Is a Video Interview Consent Form and When Do You Need One?

A video interview consent form is a written document signed by a participant before a video-recorded interview begins. It grants the interviewer or organisation explicit permission to record the session using camera, microphone, and screen capture, and specifies exactly how that recording will be stored, accessed, and distributed. Unlike a basic interview consent form, a video-specific form also addresses the visual dimension of consent — whether the participant's face, name, and likeness can appear in published content.

Video interview consent forms are required across a wide range of contexts. Academic researchers conducting research interviews via Zoom or Teams must obtain video consent in addition to standard informed consent when the session will be recorded. Most IRB protocols require explicit video recording consent that addresses storage location, access control, and data retention period. For qualitative research — including semi-structured and ethnographic interviews — video recording is often preferable to audio-only as it captures non-verbal cues, but requires correspondingly clear consent language.

In media and journalism, a media interview consent form covers the additional broadcast and distribution rights that a basic video consent form may not include — particularly for interviews intended for television, documentary film, or online video platforms. For podcast hosts who publish video versions on YouTube, a video consent form should be obtained alongside the standard podcast guest release. UX researchers recording screen sessions and participant reactions during usability testing should use a UX interview consent form which combines video, audio, and screen recording consent in a single document.

For video interviews conducted remotely over the internet, an online interview consent form sent and signed digitally before the session is legally valid in most jurisdictions. Educational institutions recording students for coursework, dissertations, or research must also comply with FERPA (Family Educational Rights and Privacy Act) in the US, or equivalent student data protection laws elsewhere. Our student interview consent form includes the appropriate FERPA-compliant language for this context.

For EU and UK-based participants, all video interview consent forms must satisfy GDPR requirements — specifically identifying the lawful basis for processing video data, the data controller, and the participant's rights to access and erasure. If you are unsure what to include, see our step-by-step guide on how to write an interview consent form, or browse interview consent form samples and examples including a complete video consent example. For a quick one-page option for small projects, a simple interview consent form may be sufficient when GDPR and FERPA requirements do not apply.

What to Include in a Video Interview Consent Form

  • Interviewer / organisation name and contact details Full name, role, institution, email, and phone number of the person conducting the video interview.
  • Purpose of the video interview Clearly state whether the recording is for research, UX testing, journalism, education, or media production. This determines what other consent language is required — for research, cross-reference your research interview consent form.
  • Video recording consent — camera, audio, and screen List each recording type separately: camera video, microphone audio, and screen recording. Participants may consent to some but not all. For audio-only consent, see our dedicated recording interview consent form.
  • Streaming or live broadcast consent If the video interview will be streamed live — on YouTube Live, Twitch, or a webinar platform — this requires separate explicit consent from the participant before the session begins.
  • Storage, security, and access controls Specify where recordings will be stored (encrypted cloud storage, institutional server), who has access, and whether access is password-protected. GDPR and FERPA both require this information to be documented in the consent form.
  • Distribution rights — internal vs. published State clearly whether recordings will remain internal (research team only), be used in publications or presentations, or be published online. For broadcast or theatrical distribution, use a media interview consent form instead.
  • Right to blur or obscure face and identity For participants who consent to recording but not to being identifiable in published content, document whether face blurring, pixelation, or audio-only editing will be offered.
  • Data retention period and deletion policy State how long recordings will be kept and when they will be permanently deleted. Required by GDPR and best practice for all research video consent.
  • GDPR and FERPA compliance clauses For EU/UK participants: state the lawful basis for processing, the data controller identity, and participant rights (access, correction, erasure). For US educational settings: reference FERPA and document how student privacy will be protected.
  • Voluntary participation and withdrawal rights Confirm that participation is voluntary and the participant may withdraw consent at any time before publication or distribution without penalty. See our guide on how to write an interview consent form for the exact wording to use.
  • Signature and date lines Both participant and interviewer must sign and date the form. For remote sessions, a digitally signed version sent via email or DocuSign before the recording starts is legally valid in most jurisdictions.

Frequently Asked Questions

Yes. If you are recording a Zoom, Microsoft Teams, or Google Meet interview for any purpose beyond personal notes, you must obtain a signed video interview consent form before recording begins. Platforms like Zoom include a built-in recording notification, but this does not replace a written consent form — especially for research, journalism, or any content that will be shared or published. For fully remote sessions, an online interview consent form signed digitally before the call is widely accepted as legally valid.
Educational institutions use video interview consent forms when recording students, staff, or research participants to comply with FERPA in the US, or equivalent student data privacy laws elsewhere. The form should specify storage location, access controls, retention period, and whether footage will be published or kept internal. Our student interview consent form includes the FERPA-compliant language needed for educational research contexts.
If your original video interview consent form explicitly covers the specific publication channel — for example, a YouTube video, social media clip, or broadcast programme — a separate release may not be needed. However, if you plan broader or different publication than originally consented to, you must obtain updated consent before publishing. For broadcast television or theatrical distribution, a media interview consent form with full broadcast rights language is recommended instead.
Screen recording consent covers capturing the participant's computer screen during a video call — relevant for UX research, usability testing, and training sessions where the participant's on-screen activity is being observed alongside the video feed. It should be listed separately from camera and audio consent in your form, as participants may consent to one but not others.
Yes, if any participant is based in the EU or UK, your video interview consent form must be GDPR-compliant. This means stating the lawful basis for processing video data, identifying the data controller, specifying data retention periods, and informing participants of their right to access, correct, or request deletion of their data. For guidance on including this language correctly, see our guide on how to write an interview consent form.
